Who we need
Reporting to the CSO, we are hiring a Team Lead, Operations to help ensure the systems, tools, and operational processes that support our business run smoothly and continue to evolve as we grow. As our new Team Lead, Operations, you will sit at the centre of our operations, supporting the internal infrastructure that enables our team to deliver exceptional recruitment solutions to our clients. You will oversee operational workflows, coordinate our technology stack and security practices, and support the systems and tools that power our delivery teams.
Working with, and within, a small team, you will help implement process improvements, support the rollout and/or optimization of new tools, and ensure operational initiatives move forward across the business. This is a role for someone who enjoys bringing structure to how teams work, improving processes through automation, and taking ownership of the operational systems that keep a growing company running effectively.
This is an existing vacancy working remotely within Canada in the Eastern timezone.

What you will do:
- Lead operational infrastructure and internal systems. You will oversee the systems, documentation, and workflows that support TalentMinded’s business and delivery model. You will ensure processes remain organized, efficient, and scalable as we grow, while maintaining strong operational standards across our tools, systems, and internal practices.
- Support and strengthen our recruitment delivery model. You will develop a strong understanding of how TalentMinded delivers recruitment services and ensure our operational processes and tools support exceptional client and candidate experiences. You will play a key role in launching new client engagements and will work directly with clients to establish effective delivery processes and operational workflows.
- Own and evolve our technology stack. You will manage the tools that power our business - both those used for recruitment and those supporting our internal operations. You will identify opportunities to improve how these tools are used, introduce automation where it makes sense, and support the rollout and adoption of new technologies.
- Drive operational improvements and special projects. You will identify opportunities to streamline workflows, improve documentation, and enhance how work moves through the organization. You will lead operational initiatives and special projects, including coordinating client reviews and supporting internal reporting and process improvements.
- Lead and support the operations team. You will guide a small team responsible for operational coordination, implementation support, and internal initiatives. You will set clear expectations, support development, and foster a collaborative and inclusive environment while ensuring larger operational initiatives continue to move forward.
What you bring:
- Operations experience in a growing environment. You have experience supporting or managing operations in a professional services, consulting, recruitment, or similar environment. You understand how strong operational systems, documentation, and workflows enable teams to deliver consistent, high-quality work.
- Strong communication skills and comfort working with clients. You are a clear and thoughtful communicator who is comfortable working directly with clients when needed. You can explain processes, ask the right questions, and collaborate with both internal teams and external partners to ensure delivery runs smoothly.
- Comfort with technology, automation, and evolving tools. You enjoy working with systems and are comfortable learning new technology quickly. You are open to exploring automation, AI-enabled tools, and new ways of working that improve efficiency and outcomes.
- Adaptability and curiosity. You are not afraid to figure things out as you go. Whether launching a new client, adopting new technology, or working within a client’s systems, you approach new situations with curiousity, problem-solving, and a willingness to learn.
- A process improvement mindset. You naturally look for ways to improve how work gets done. You are open to experimenting with new ideas and tools, while also recognizing when something is working well and should simply be strengthened rather than changed.
- Leadership and collaboration skills. You have experience guiding or supporting others and enjoy helping teams succeed. You lead with empathy, accountability, and clarity while fostering a collaborative and inclusive working environment.

Each new client can introduce new tools, workflows, or expectations. This role sits at the centre of helping the team get up to speed and establishing how we will operate going forward.
- You will become the internal expert on many things. From new tools to client processes, you will often be the person who dives in first, learns how something works, and helps the rest of the team adopt it. That means being comfortable touching things you may not have worked with before.
- You will work directly with clients. This role is not purely internal. You will engage with clients when launching new partnerships, updating delivery processes, or implementing new systems that support our recruitment delivery model.
- We are data-driven. Data plays an important role in how we understand progress and improve outcomes for our clients. This role leads the operational team that supports reporting and insights, so comfort with data and structured thinking is important.
- Process matters. But so does momentum. We value strong documentation and clear workflows. At the same time, recruitment moves quickly, and sometimes the right answer is simply to move forward and make things happen while refining the process along the way.
- We all love recruitment here - the highs and lows! We work with hiring managers and teams who are often short staffed and need help quickly. Priorities shift, timelines change, and each search brings new challenges. Being comfortable with that pace, and helping teams navigate it is part of the work.
